The Workflow admin view is used to add new workflows and edit existing ones. The overview lists all workflows that are currently registered in the Automation Platform.
The Activity library lists all available activities that can be used in the workflows. To find a workflow:
- Filter the workflows by name, or scroll through the list.
- Use the Status list to see Hidden workflows as well.
- Use the Type list to see only workflows of the Cancel, Edit or Order type.
Click to update the view.
Add a New Workflow

In the Workflow admin view, click Add workflow. The Add workflow dialog box appears.

Type the Name of the workflow.

Select workflow Type:
- Order is used for requesting new services
- Edit and Cancel are used for managing a user’s current services.

Type a Description of the workflow.

In the Notification box, type a message that will appear at the checkout for services related to this particular workflow.

To copy an existing workflow with activities, select workflow in the Copy existing list.

Click Add workflow to save the changes and close the Add workflow dialog box.
Edit a Workflow
To edit a workflow:

Click View on the workflow row. The workflow is expanded showing a number of tabs.

Make the changes, for detailed information see the sections that follow.

Click Save.
Note
Configuration of a parameter in the Workflow scope (Workflow admin view) will override any configuration in the Global scope (Activity admin view). When an administrator changes a parameter in the Workflow admin view, the new parameter value will apply to that specific workflow, only. Other workflows where the activity is used will not be affected.
Activities Tab
The Activities tab displays all activities of the workflow. The activities can be rearranged, and new activities can be added. To add a new activity, drag it from the Activity library, and drop it into position in the workflow. To rearrange the activities within the workflow, use drag-and-drop to change the order. Click an activity, and the tabs Parameters, Activity settings, and Run conditions are displayed.
Note
Drag-and-drop doesn't work with Internet Explorer 9. Either update your browser, or build workflows without drag-and-drop by changing the setting DisableDragAndDrop to True.
Activity Configuration on the Workflow Level
Parameter Tab
The Parameters Tab is used to show and configure the parameters of the selected Activity in the workflow. See Parameter Configuration.
Activity Settings
The Activity Settings tab enables the administrator to configure how the activities of the workflow are displayed My Tasks page.
Activities can be 'hidden' from the process overiew on the My Tasks page selecting Exclude from process overview. An alternate display name for an actviity in the process overview can be given in the Process overview labeltext box.
Click Save when changes are made.
Disable Activities
An activity can be disabled in a specific workflow or service, which is indicated by the disable button in front of the activity name in the Workflow and Service admin views. When an activity is disabled, the activity will be skipped and the workflow will continue to the next activity in the process.
Note
When viewing a workflow with skipped activities in the Request Monitor, the step order shown may not be sequential. Only active steps of the workflow are shown.
General Tab
The General tab enables the administrator to change properties of the workflow. The Display name can be used to show the users a friendly name when invoking workflows as actions on My services view. It is also possible to set the workflow display name for each service that uses the workflow in the Service admin view. The Notification property is used to display a message in the checkout view when a service is requested that will invoke the workflow. The On error e-mail address is used to send additional error notifications for a specific workflow to specified recipients via email.
Usage Tab
The Usage tab displays a list of all services where the workflow is used. If the workflow is not used in any service and if all the activities have been removed, it is possible to delete the workflow. However, license compliance is based on workflow usage, not workflow count, so from a license perspective there is no need to delete any unused workflows.
Statistics Tab
The Statistics tab shows information on Total run count and the Average run time along with the Number of runs per day graph.

| Run count | Number of times the workflow was run within a request. Only requests with status Error, Complete, Rejected, and Time out are included in this calculation. |
| Average run time | The Average run time of all the executions of this workflow. The Average run time is based on the Run count. |
| Number of runs per day | The graph represents the number of Successful runs and Error runs of the workflow. When the page loads, the Range Selector control below the graph shows the data for the last year, whereas the graph is focused on the last month. Since system administrators either correct activities in error state or manually skip them, the status of the activity is not a good representation of the number of Error runs. Instead, the number of Error runs is calculated based on the status log history of each activity. |
Verifications Tab
On the Verification tab, the administrators can run the verification rules against the selected workflow and view the results.
Export and Import a Workflow
The Automation Platform functionality for export and import applies to workflows. A workflow with all of its activities and parameters can be copied from one installation of the Automation Platform to another.
