Synopsis
In the FlexNet Operations On-Premises application, alert handlers can be enabled to send an email to a specified email address when the alert is triggered. Operations can also email license files. This article describes a few of the default email templates and explains how to customize them.
Discussion
Each alert type, or alert type family, and license file email has a default email template. An XSL file is used to create email messages. It is recommended that you familiarize yourself with XSLT before attempting to edit one of the email templates.
The name of a default email template is usually composed of the:
- Module in which the alert or use is defined
- Name or family name of the alert type or
Default email templates are located in the ops_install_dir/site/jetty/webapps/flexnet/templates directory. These email templates can be customized to suit your company's needs.
For example, one template is named operations_sendEmailWithLicenseAttachmentTemplate.xsl. It is defined in the operations module to send license emails. Only one license email template can be defined in FLEXnet Operations at a time, so any customization you make to this template will affect all license emails.
Another template is named operations.changedProductsTemplate.xsl. It is defined in the operations module for the Updated Products alert. If there is no email template that matches the alert type, the genericAlert.xsl template is used. You can specify a different email template for each alert email handler. Before customizing an alert email template, decide whether the customization will apply to all emails that use this template to know whether to rename the customized template.
To customize an email template:
- Create or locate the custom directory in the ops_install_dir directory.
- Create the following directory structure in the custom directory to mimic the path to the default email templates:
jetty/webapps/flexnet/templates - Locate the default email template you want to edit and copy it to the custom templates directory that you just created.
- Edit the copy of the email template and save the file. Check that it contains well-formed XML with an XML editor.
- The customized file does not necessarily have to be renamed. If the changes to the email template apply to all email messages that are generated using this template (as they will for a license email), do not rename the template file. If it is not renamed, it will replace the default template in the site directory, but the original will remain intact in the releases directory in case it has to be recovered. However, if you want to target your edits to the email template used for only one of a family of alerts, rename the email template.
- Stop FLEXnet Operations.
- To load files from the custom directory into the site directory, in the ops_install_dir directory, type:flexnet site make
- Restart FLEXnet Operations.
- Log in to FLEXnet Operations.
- If you customized a license email template: If you renamed the custom email template, change the Email Template Name in the Operations system configuration settings to the custom file name. Click the Save Configurations button and restart FLEXnet Operations. If you customized an alert email template: In the Set Alert Handlers screen, configure an alert handler. If you did not rename the custom email template, do not change the Email template file path. If you did rename the custom email template, change the Email template file name to the custom file name. Click the Save button.
