Activity Admin
The Activity admin view is used to add new activities and configure existing ones. The overview lists all activities that are currently registered in the Automation Platform. To find an activity, filter the activities by name, or scroll through the list. Use the Status list to search among Hidden services as well. Click to update the view.
Add a New Activity
To add an activity:
- Select Activity Admin view, click Add The Add activity appears.
- Select to Upload and register one of the activity types that can be registered automatically:
- PowerShell script (recommended)
- Executable (built on the Automation Platform template)
- Click Add
- Once the activity has been registered, its parameters will be automatically registered and configurable, see description below.
Delete an Activity
To delete and activity:
- In the Activity admin view, select the activity.
- On the Usage tab, click Delete activity
Note
An activity can only be deleted if it is not part of a workflow or if it has not been run in Automation Platform. When an activity has been run there will be references to it from for example history and statistics, and the activity can therefore not be deleted. However, it is possible to hide an activity that is no longer used. To hide an activity, click Hidden on the General tab.
Edit an Activity
To configure an activity:
- Click View on the activity row. The activity is expanded showing a number of tabs.
- Make the changes, for detailed information see the sections that follow.
- Click Save.
Note
Configuration of activity parameters in the Activity admin will affect every workflow where the activity is used (Global scope) unless the activity parameters are configured differently in either Workflow admin (Workflow scope) or Service admin (Service scope).
Parameters Tab
On the Parameters tab, all parameters of the activity are listed. To see details, click View on a parameter row. Two sub-tabs will appear; General and Value population. For more information, see Parameter Configuration .
General Tab
On the General tab, the administrator can specify the following properties of the activity:
| Property | Description |
|---|---|
| Name | The name that is used to identify the activity, should reflect what the activity does. Use the display name option to set a friendly name that the users will see |
| Category | Set the category under which the activity will be accessible on the Workflow admin view. |
| Disable activity | An activity can be globally disabled. That will have the same effect as if the activity was removed from all workflows that it is used in. |
| Display name | Set a display name to show a more friendly activity name to the users. Example: An activity to send email messages may be named "Send mail", but the display name visible to the users may be "Request notification", if that is the content of the email message. |
| On error e-mail address | Optionally, set an email address that will receive a notification if any errors occur when the activity is executed in a workflow. The global error notification email message configured in the Settings view will always be notified when activity errors occurs. |
| Description | A field used to store a description of what the activity does. This is to help the administrator keeping the contents organized, and is only visible to the administrators. |
| Service account | By default, all activities are spawned in the context of the service account running the Workflow Engine service. If needed, an activity can run under another context. In the Service accounts view, create a service account for the Windows account that you want to use. |
| Status | Status Active will make the activity visible when building workflows. Status Hidden will hide the activity from the activity repository, but if will remain visible in all the workflows where it is already in use. |
| Activity time savings (in minutes) | An estimation of how many minutes of manual work the activity will save. The number is used when creating reports on request history data. |
Usage Tab
On the Usage tab, a list of all workflows where the activity is used is displayed. Click view to be linked to the workflow.
Run Condition Tab
On this tab, Run conditions for the activity can be defined. For information on configuration of run conditions, see Run conditions.
Preview Tab
The Preview tab is only visible for the PowerShell activities. On this tab the user can view the contents of the PowerShell script. The contents cannot be edited.
Statistics Tab
The Statistics tab shows information on Total run count and the Average run time along with the Number of runs per day graph.
| Property | Description |
|---|---|
| Run count | Number of times the activity was run within a request. Only request activities with status Error, Complete, CompleteRejected, and Complete Timeout are included in this calculation. |
| Average run time | The Average run time is based on the Run count. NOTE : To show a more true average, the bottom 5% and top 5% of the durations are removed. For example, a stuck instance of an activity which has been running for several months can distort the average value. |
| Number of runs per day | The graph represents the number of Successful runs and Error runs of the activity, and includes all of the runs. When the page loads, the Range Selector control below the graph shows the data for the last year, whereas the graph is focused on the last month. The number of Error runs is calculated based on any reported errors during the execution of the activity. This means that an error will be counted even if the activity is handled and completed. |
Verification Tab
On the Verification tab, the administrators can run the verification rules against the selected activity and view the results.
Export and Import an Activity
The Automation Platform functionality for export and import applies to activities. An activity with all of its parameters can be copied from one installation of the Automation Platform to another. For more information on exports and imports of activities, see Export and Import Functionality.
