When a Service Portal user does not have an individual Service Portal role, and is a member of one or more organizations, they will not be able to switch their context to view VMs they own as individuals, unrelated to the organizations. To better understand this, consider how Service Portal users are added in Commander®; as members of an organization or as individuals.
How you choose to add your users will have an impact on whether or not they will be able to own and view VMs individually.
Adding Service Portal Users as Organizations Members
Most typically, you will add users from the Configure Organization wizard, to make sure that the the user's role and quota are defined by their organization membership. When adding a user this way, no individual role is assigned, but you can do so later from the Configuration > Users and Roles page.
If their Service Portal Role provides them with the permission Show All Organization Services they can view and interact with VMs and vApps owned by others with whom they share organization membership.
Once a user has this permission, new menu options appear under the Views menu allowing them to switch context, offering views of all services in organizations of which they are members, or their services owned in organizations of which they are members.
Adding Service Portal Users as Individuals
However, you can also add new Service Portal users from the Configuration > Users and Roles page, which allows you to assign an individual role without making the user an organization member.
There are two cases in which you should add Service Portal users from the Users and Roles page:
- A user who requires visibility of services across organizations needs to have an individual role, and does not need an organizational role.
- A user who requires visibility of services across organizations and will manage VMs as a member of an organization needs to have both an individual role and an organizational role. In this case, you first add the user to an organization, and then edit them on the Users and Roles page to provide an individual role.
Once a user has an individual role as well as organization membership, new menu options appear under the View menu allowing them to switch context, offering views of all services in organizations of which they are members, their services owned in organizations of which they are members, and individually owned services,.
Adding Individual Roles for Organization Members
If a user account had individual ownership of one or more VMs, but no individual Service Portal role, you must edit the user account to provide an individual role before they can view these VMs.
- Browse to Configuration > Users and Roles and select the user from the list. Click Edit.
- Change the value of the Role from No individual role to an appropriate Service Portal role.
- Click Save.
